Outreach reminders

Set a follow-up reminder on an outreach row, understand how its date is computed, and know where the reminder shows up.

A pitch left for three weeks without a follow-up goes cold. Set a reminder on the outreach row once and Boardssey nudges you in the bell, and by email if you want, when it is time to write again.

You'll start from a game page, on the Outreach tab.

Before you start

  • Reminders are personal: you get your own reminder, and a teammate can set a separate one on the same row.
  • Each person can have one open reminder per row. Setting it again updates the existing one.

Set a reminder

Open the game, switch to the Outreach tab, open the ⋮ menu of the row and click Setup Reminder. Enter a number in Remind me after (days) and click Setup Reminder.

Helpful details

  • Key areas: the dialog recaps the row (Publisher and Last Interaction), takes 1 to 365 days (7 by default) and shows the New Reminder Date it computes as you type.
  • What you can do: a bell icon appears on the row while a reminder is active, so you see at a glance which conversations are covered.
  • Good to know: without a Last Interaction date the dialog says so, and counts from today.

How the date is computed

The reminder date is the row's Last Interaction plus the number of days you entered. It is fixed when you click Setup Reminder.

Helpful details

  • Key areas: example: last interaction on 1 October and 14 days gives a reminder on 15 October, whether you set it on 1 October or on the 10th.
  • What you can do: when you update Last Interaction after a new exchange, reopen Edit Reminder and click Update Reminder to recompute the date from the new interaction.
  • Good to know: editing Last Interaction alone does not move the reminder. The dialog shows the Current Reminder Date and the New Reminder Date side by side so you can see the difference before you save.

Change or remove a reminder

Open the row's ⋮ menu and click Edit Reminder.

Helpful details

  • Key areas: Update Reminder saves a new number of days and recomputes the date; Remove Reminder cancels it.
  • What you can do: remove the reminder when a conversation closes, so you are not nudged about a Pass.
  • Good to know: reminders fire whatever the status of the row. A reminder that has fired is done; set a new one if you want another nudge.

Where the reminder arrives

On the reminder date, two things happen.

Helpful details

  • Key areas: a notification "Reminder: Follow up on pitch to {contact} for {game}" appears in your bell and opens the game page. An email with the same information goes to your account's address when Outreach reminders is on under email notifications.
  • What you can do: turn the email on or off in your notification settings under Outreach reminders. See Notifications.
  • Good to know: only the person who set the reminder is notified. The row itself is visible to everyone with access to the game.

After you follow up

A reminder is only as good as what you do next.

Helpful details

  • Key areas: on the row, set Last Interaction to today, update the Status if it moved, and add a line to Notes about what you sent.
  • What you can do: open Edit Reminder and Update Reminder for the next nudge.
  • Good to know: the Dashboard's Outreach follow-ups card also counts the days since Last Interaction, so keeping that date current keeps the Dashboard honest too. See Dashboard tour.

Tips & common questions

Can I set two reminders on one row, say 7 and 30 days? Not at the same time. Each person has one open reminder per row; setting a new number replaces the old one. Set the 30-day one after the 7-day one has fired.

My reminder never arrived. Check the bell first. If the notification is there but no email came, check your spam folder and that Outreach reminders is on in your email notifications.

Can I set a team-wide rule, like a reminder on every row? No. Reminders are set row by row.

Does a teammate see my reminder? No. The bell icon on the row and the notification are yours. A teammate can set their own reminder on the same row.
