Track outreach on a game

Log every publisher pitch, reviewer request or manufacturer conversation on a game's Outreach tab, with a type and a status for each.

The Outreach tab on a game is your record of everyone you have approached about it: publishers you pitched, reviewers who asked for a copy, manufacturers quoting a print run, conventions, retailers and collaborators. One row per conversation, with who, when, how and where it stands.

What this page helps you do

  • Log a conversation with its type and status.
  • Pick the right status from the publisher pipeline or the general one.
  • Edit, duplicate and delete rows.
  • See which conversations are waiting on a reply from your team Dashboard.

You'll start from a game page, on the Outreach tab.

Before you start

  • Outreach is on every plan.
  • Anyone who can open the game can log outreach: Members and Admins, and Collaborators who were granted the game.
  • Boardssey does not send the emails for you. You pitch in your own email or in person; Outreach records what happened.

Log a conversation

In the sidebar, click Games, open the game and switch to the Outreach tab. Click Log outreach. Fill in the form and click Log outreach at the bottom. The new row appears in the table.

Helpful details

  • Key areas: Contact (required: the company or person, typed freely), First contact (a date, today by default), How or where? (email, a convention booth, a speed-pitching event), Point of Contact (the person you deal with), Type, Status, Last Interaction (the date of your most recent exchange) and Notes.
  • What you can do: pick a Type that fits the conversation: Publisher, Reviewer, Press, Manufacturer, Retailer, Convention, Collaborator or Other. The type decides which statuses you can choose.
  • Good to know: the Contact field is free text. It is not linked to the Contacts page, so type the name the way you want to read it later.

Pick a status

Click the status badge on a row to open Track this conversation and pick where it stands. Publishers follow the pitch pipeline; every other type uses a shorter, general one.

Helpful details

  • Key areas: the Publisher pipeline has 12 steps: Haven't pitched yet, Pitched, waiting to hear back, Video requested, Video under review, Physical prototype requested, Physical prototype under review, Playtest requested, Playtested, waiting to hear back, Want to license, Licensed, Pass, No response.
  • What you can do: for every other type, choose from 9 general statuses: Not contacted yet, Contacted, waiting to hear back, In conversation, Material sent, Under review, Positive, next steps agreed, Agreed, Declined, No response.
  • Good to know: the badge color tells the story at a glance: gray for not started, blue for in progress, green for won (Want to license, Licensed, Positive, Agreed), red for lost (Pass, Declined, No response).

Edit a row

Click a cell to edit it in place: text fields open for typing, dates open a date picker, the type and status open their pickers. Changes save when you leave the cell.

Helpful details

  • Key areas: every column is editable: Contact, First contact, How or where?, Point of Contact, Type, Status, Last Interaction and Notes.
  • What you can do: keep Last Interaction current each time you exchange an email. Reminders and the Dashboard both read it.
  • Good to know: changing the Type switches the status list. A status that does not belong to the new type is reset to the first one of that pipeline.

Duplicate or delete a row

Open the ⋮ menu at the end of a row.

Helpful details

  • Key areas: Setup Reminder (or Edit Reminder when one is set), Duplicate Row and Delete Row.
  • What you can do: Duplicate Row copies the row so you can log the same pitch to a second publisher and change only the contact. Delete Row removes it for good.
  • Good to know: when a conversation ends, prefer Pass, Declined or No response over deleting. You keep the history of who has seen the game.

Follow up from the Dashboard

Your team Dashboard shows the conversations still waiting on a reply, across every game.

Helpful details

  • Key areas: the Outreach to follow up tile in the summary strip, with "Longest wait: N days", and the Outreach follow-ups card listing each open conversation with its Contact, type, status and the days Since last reply. All outreach opens the game's Outreach tab.
  • What you can do: click a row to jump to that game's Outreach tab.
  • Good to know: closed conversations (Licensed, Pass, Agreed, Declined, No response) are left out, so the card only shows what needs a nudge. See Dashboard tour.

Tips & common questions

Where did the Pitches tab go? It is now called Outreach. Your existing pitches are still there, as rows of type Publisher.

What is the difference between First contact and Last Interaction? First contact is the day you reached out. Last Interaction is your most recent exchange of any kind, and it is the date reminders and the Dashboard count from.

Can I see all outreach across games in one table? The Dashboard's Outreach follow-ups card shows the open conversations of every game. Closed ones stay on each game's tab.

I pitched the same publisher twice, a year apart. One row or two? Two rows. Each row is one conversation, so the history of both attempts stays readable.

Can a Collaborator log outreach? Yes, on the games they were granted. See Share access on a game.
