Keep a list of your playtesters

The Playtesters tab collects everyone who played a game, from form submissions or added by hand, exports to CSV, and erases a tester who asks.

The Playtesters tab on a game's playtests page is a simple contact list of the people who have played that game. Boardssey fills it from feedback form submissions, and you can add people by hand.

What this page helps you do

  • See everyone who has tested a game, with their email if you have it.
  • Add a playtester who never filled in a form.
  • Fix a name or email you typed by hand.
  • Export the list to invite people to the next session.
  • Erase a tester, with everything they sent, when they ask you to.

You'll start from the sidebar: Playtests, click the game, then the Playtesters tab.

Before you start

  • The list is per game. The same person who tested two games appears under each.
  • Everyone on the team who can open the game can add, edit and remove playtesters.

Open the Playtesters tab

Click Playtesters on the game's playtests page. The tab's badge shows how many people are on the list.

Helpful details

  • Key areas: a table with Name, Email (optional), Source and Date Added, and two buttons above it: Export CSV and Add Playtester.
  • What you can do: scan the list, add people, export it.
  • Good to know: people who answer a feedback form are added as they submit it. Opening the tab only reads the list, so someone you removed stays removed. An empty list says "Add playtesters manually or they will appear automatically when someone fills a feedback form".

How playtesters get on the list

Two ways, shown in the Source column.

Helpful details

  • Key areas: Form means the person submitted a feedback form for any playtest of this game. Manual means someone on the team added them.
  • What you can do: nothing to do for form entries: every submission adds its name and email, and a repeat submission with the same email does not create a duplicate.
  • Good to know: forms created from the playtest page always ask for a name and an email, so form entries are complete. Forms created from the Virtual Table make the email optional, so those entries may have a name only.

Add a playtester by hand

Click Add Playtester. Fill in Name (required) and Email (optional), then click Add Playtester.

Helpful details

  • Key areas: the "Add Playtester" dialog with its two fields.
  • What you can do: record the friends and family who played at your table, the people who handed you paper feedback, or a tester you spoke to on a call.
  • Good to know: the entry gets Source: Manual and today's date. The playtesters list does not link to a specific playtest; use the playtest's Score Board for who sat at which session.

Edit or remove a playtester

Each row ends with a pencil (manual entries only), a trash can and an erase button (a person with a cross).

Helpful details

  • Key areas: the pencil opens "Edit Playtester" with the same two fields; Save keeps the change. The trash can removes the row at once, with no confirmation.
  • What you can do: fix a misspelled name or add an email you learned later.
  • Good to know: entries from a form cannot be edited ("Playtesters added via a feedback form can't be edited here") because their details come from what the person typed. You can remove them. Removing a playtester takes them off the list only: their form responses stay in the Feedback tab. To delete those too, erase the tester instead.

Erase a playtester who asks

When a tester asks you to delete what they sent, click the erase button on their row and confirm with Erase.

Helpful details

  • Key areas: the "Erase" dialog names the person and the email it will erase.
  • What you can do: delete the tester from every game of your team, together with every feedback form answer sent from that email. It cannot be undone.
  • Good to know: a tester without an email is only that row: delete their answers one by one in the Feedback tab (the trash can at the end of each answer). Feedback already copied into a playtest's notes stays there, so edit those notes too. A collaborator only erases answers on the games they can edit: when some are left, the tester stays on the list and a team admin finishes the erase from there. A collaborator does not see the team's other games at all, so after their erase the app reminds them to ask a team admin to erase the tester on those games too.

Export the list

Click Export CSV to download playtesters.csv with Name, Email, Source and Date Added.

Helpful details

  • Key areas: the Export CSV button above the table.
  • What you can do: paste the emails into your mail app or a Discord invite to recruit for the next round, or keep a record before a convention.
  • Good to know: these people gave their email to you, not to a mailing list. Ask before adding them to a newsletter.

Tips & common questions

Someone filled in a form but is not on the list. Reload the Playtesters tab. If they were removed from the list before, they come back only when they submit a form again. If the form left the email blank, check the game's Feedback tab for the response.

Can I see which playtests a person took part in? Not from this tab. Search their name in the Feedback tab (Search Respondent) to see the sessions they gave feedback on, or check the Score Boards.

Does removing a playtester delete their feedback? No. Responses stay with the form. The person simply leaves the contact list, and only a new submission from them adds them back. To delete their responses as well, use the erase button.

Can I import a list of playtesters? No. Add them one at a time with Add Playtester, or share a feedback form link and let them add themselves.
