How payments work

How Boardssey bills you, what your card sees, where invoices come from, currency, taxes, and what happens if a payment fails.

Boardssey's billing is straightforward: one card, one charge per period, full invoice you can download. This page covers what to expect on your card statement, where invoices come from, how currency and taxes are handled, and what happens if a payment fails.

Who processes the payment

Boardssey uses Stripe as our payment processor. When you pay for a subscription:

  • Your card details go to Stripe, not to Boardssey directly. We don't store your full card number; only Stripe does, with the right security certifications.

  • The charge appears on your statement under a Boardssey-related descriptor, exact wording depends on your card and bank, but it should clearly say "Boardssey" or our parent company name.

  • Refunds (rare; case-by-case) go back to the same card.

The Billing Portal you reach via Settings β†’ Billing β†’ Visit Billing Portal is hosted by Stripe. That's where you change plans, update cards, download invoices, and manage anything billing-related.


When you're charged

  • Trial: card is captured at sign-up but not charged. Your first charge is on day 15 of the trial.

  • Monthly billing: charged once a month on the same day each month, at the current plan's rate.

  • Annual billing: charged once a year on the same date, at the current plan's annual rate (which saves the equivalent of two months).

  • Plan changes: pro-rated. Upgrades charge the difference for remaining days at the new rate; downgrades credit unused days against the next invoice. See Update or cancel your subscription.

You'll receive an email each time we charge your card with the invoice attached.


What's on the invoice

Each invoice includes:

  • The team workspace name (the team that owns the subscription).

  • The billing name and address (you can edit these in the Billing Portal).

  • The line item: which plan, which billing frequency, the period covered.

  • Any discounts: pro-rated credits, coupon codes, special-program adjustments.

  • Tax, where applicable (see "Tax" below).

  • Total charged, payment method (last 4 of card), and timestamp.

Invoices are PDF and are suitable for expense reports. You can pull them yourself from the Billing Portal at any time, Update or cancel your subscription shows where.


Currency

Pricing is shown and billed in your local currency at sign-up, based on your billing address. We support 13 currencies today (USD, CAD, EUR, BRL, JPY, KRW, CNY, GBP, MXN, AUD, NZD, TWD, THB).

If your country isn't in that list, billing falls back to USD.

The currency is locked at sign-up. If you move countries, the existing subscription keeps billing in its original currency. To switch currency, cancel and re-subscribe with a billing address in the new country (Stripe will offer the matching currency at that point).

Tax

Stripe handles tax calculation based on your billing address. In jurisdictions where we're required to collect tax (VAT, GST, sales tax), it's added at checkout and shown on your invoice.

If you have a VAT number (in the EU, UK, or similar), enter it in the Billing Portal under Edit billing information. Where applicable, this qualifies you for reverse-charge and removes VAT from future invoices.

We don't provide tax advice, for what your specific business should do with Boardssey invoices, ask your accountant.


When a payment fails

Cards expire. Banks decline charges they think are suspicious. Sometimes the billing address on file gets out of date. When a charge fails:

  1. Stripe retries automatically over a few days, typically 3–4 attempts spaced out.

  2. We email you each time a retry fails. The email includes a link straight into the Billing Portal so you can update your card.

  3. If all retries fail, your subscription lapses. The team workspace drops to a read-only state, you can sign in and view games, but can't create new ones, run new playtests, or use gated features (Whiteboard, Sell Sheet Designer).

  4. As soon as you successfully pay (update card β†’ pay outstanding invoice in the portal), the subscription reinstates immediately. No re-onboarding.

Practical advice: when you get a "card expired" email or notice a charge failed, fix it the same day. Two days of read-only mode is usually fine; a week of it can disrupt active playtest cycles or pitch deadlines.


Refunds

We don't issue automatic refunds for unused subscription time. Pro-rated credits cover most cases (downgrade mid-month and you don't pay for the unused days at the higher rate).

For special circumstances, accidentally cancelled the wrong workspace, charge went through after a known issue, reach out via the in-app chat bubble or email. We review case-by-case.


Tips & common questions

The descriptor on my card statement is unclear. Banks sometimes truncate descriptors. Look for "Boardssey" or our parent company name. If you genuinely can't tell whether a charge is ours, the Billing Portal shows every charge we've made, you can match by amount and date.

Can I pay by bank transfer / invoice / wire? Standard subscriptions are card-only via Stripe. For higher-volume or enterprise-style arrangements, contact us via the in-app chat bubble.

Can I get a receipt for the trial period? There's no receipt for the trial because no charge happens during it. Once you're charged on day 15, you'll get a regular invoice.

My company needs a W-9 or other tax form from Boardssey. Reach out via the in-app chat bubble with what you need, we'll provide what applies.

Multiple workspaces, multiple subscriptions, can I consolidate? No. Each team workspace has its own subscription. Some teams keep separate workspaces deliberately for accounting reasons; others would prefer one. If you'd like to merge two teams into one subscription, contact us, we can help walk through whether it's possible without losing data.

What if Stripe is down? Charges retry until they go through. Boardssey itself stays up regardless of billing status, we don't shut off your access mid-period because of a processor outage.
