Roles explained
Admin, Member and Collaborator, plus the Primary Owner badge. What each role can see and do in a Boardssey team.

Everyone in a Boardssey team has one of three roles: Admin, Member or Collaborator. The person who created the team also carries the Primary Owner badge. This page is for anyone deciding which role to give a teammate.

You'll start from Settings > Team Roles, which only Admins and the Primary Owner can open.

Helpful details
- Key areas: the Team Roles tab lists every member with a role badge; the Primary Owner also shows a Primary Owner badge.
- What you can do: every plan has unlimited users, so the role you pick is about access, not cost.
- Good to know: "Owner" is not a separate role. The Primary Owner is an Admin with extra rights that move with the badge (see Transfer team ownership).
Primary Owner
The team creator is the Primary Owner. On top of everything an Admin can do, the Primary Owner alone sees the Billing tab in Settings, can Transfer Ownership to another member, can change or remove any member including other Admins, and can Delete Team.
Helpful details
- Key areas: Settings > Billing; the row menu on Team Roles; the Danger Zone on Team Account.
- What you can do: hand the badge to someone else at any time.
- Good to know: there is exactly one Primary Owner per team.
Admin
Admins run the team: they open the Team Account and Team Roles tabs, change the team's name, logo, colors and social links, invite people (including other Admins), change roles and remove members below their own level, and manage billing through the Billing page.
Helpful details
- Key areas: Settings > Team Account and Team Roles; any Upgrade button leads an Admin to the Billing page and its Visit Billing Portal button.
- What you can do: everything a Member can do, plus team management.
- Good to know: an Admin cannot change or remove the Primary Owner or another Admin. Only the Billing tab in Settings is Primary Owner only; the billing itself is not.
Member
Members are your working team. They see and edit every game, project, playtest and contact in the team, and use every tool the plan includes.
Helpful details
- Key areas: the whole sidebar except the Team Account and Team Roles tabs in Settings.
- What you can do: use Member for co-designers, in-house artists and anyone who should see the whole portfolio.
- Good to know: Members cannot invite people or leave the team on their own; an Admin removes them.
Collaborator
Collaborators only see the games an Admin or Member granted them on the game's Permissions tab. A grant opens the game plus its playtests and projects, and it is always edit access; there is no view-only grant.
Helpful details
- Key areas: the game page > Permissions tab, with the columns Collaborator and Status ("Active Collaborator" or "Outside The Loop") and the Save Permissions button.
- What you can do: use Collaborator for freelancers, external playtest organizers and anyone who should see one or two games.
- Good to know: Collaborators never see Contacts, only see whiteboard pages named after a granted game, only join Team Chat game channels for granted games, and find only their granted games, playtests and tasks in search. See Share access on a game.
Change someone's role
- Open your profile menu at the bottom of the sidebar and choose Settings, then Team Roles.
- Find the person and open the ⋯ menu at the end of their row.
- Choose Update Role, pick the new role in the Update Member's Role dialog and click Update Role.
Helpful details
- Key areas: the roles offered are the ones at or below your own level.
- What you can do: the change applies right away; the person is not notified, so tell them yourself.
- Good to know: the same menu has Remove from Account (confirm with Remove User from Team). A removed member loses access immediately; the games, comments and playtests they created stay with the team.
Tips & common questions
Can a Collaborator be promoted to Member? Yes, with Update Role. They see the whole portfolio right away.
Can someone have two roles? No. One role per team. The same person can have different roles in different teams.
Can I give a Collaborator view-only access to a game? No. A grant is always view and edit. For a read-only preview, share a sell sheet or a Catalog link instead.
My Admin cannot see the Billing tab. That tab is for the Primary Owner. Admins manage billing from the Billing page, reached from any Upgrade button, or you can transfer ownership to them.
Can a Member invite people? Not in the app. The Team Roles tab only shows for Admins and the Primary Owner.
