Manage your contacts
Add contacts by hand or from a business card photo, pick categories, edit, search, filter, invite them to the team, and delete.

This article covers the mechanics of the Contacts page: adding people, scanning business cards, choosing categories, editing, finding and removing contacts, and inviting one into your team.
What this page helps you do
- Add a contact by hand or from a photo of a business card.
- Pick one or more categories.
- Edit a contact.
- Search, filter by category and jump by letter.
- Invite a contact to your team.
- Delete a contact.
You'll start from the Contacts page: in the sidebar, click Contacts.
Before you start
- You need to be a Member or an Admin. Collaborators cannot open Contacts.
- Fields have limits: a name up to 255 characters, notes up to 1500, a phone number up to 20.
Add a contact
Click Add Contact in the top right. In the Add new contact dialog, pick at least one Category, type the Name and Email, fill in what else you know and click Save contact.
Helpful details
- Key areas: Category (several allowed), Name (required), Email (required), Phone (pick the country, then type the number), Company, Website (
example.comorhttps://example.com) and Notes. - What you can do: use Notes as a running log: what they are looking for, what you sent, what they said.
- Good to know: the dialog refuses an invalid email or website and tells you which field to fix.
Scan a business card
In the Add new contact dialog, click Scan Business Card and take a photo or pick an image. Boardssey reads the card and fills the name, email, phone, company and website for you. Check the fields, pick a Category and click Save contact.
Helpful details
- Key areas: the image can be up to 10 MB. On a phone the button opens the camera.
- What you can do: scan a pile of cards after a convention in a couple of minutes.
- Good to know: the reading uses AI and can misread a stylized card. Always glance over the fields before saving.
Pick categories
Categories describe the person's role with you, and you can pick more than one.

- Key areas: Art Director, CEO, Community Manager, Content Creator, Crowdfunding Expert, Cultural Consultant, Customer Support, Distributor, Editor, Event Coordinator, Financial Advisor, Game Designer, Game Developer, Graphic Designer, Illustrator, Insert Designer, Legal Advisor, Licensing Agent, Logistics Coordinator, Manufacturer, Marketing Professional, Owner/Founder, Playtester, Production Manager, Project Manager, Prototyping Service, Public Relations Specialist, Publisher, Quality Assurance Specialist, Retailer, Sculptor, Translator, Writer, Other.
- What you can do: give a one-person studio both Owner/Founder and Publisher, or an artist both Illustrator and Graphic Designer.
- Good to know: categories drive the filter above the list, so be consistent.
Edit a contact
Open the ⋮ menu on the card and click Edit Contact. Change what you need and click Update contact.
Helpful details
- Key areas: the same fields as the add dialog.
- What you can do: update the company when someone changes jobs; the notes stay with the person.
- Good to know: clicking the card itself opens a read-only view with the notes; editing is in the ⋮ menu.
Find a contact
Above the list, type in Search for contacts... to match a name or an email. Use the category dropdown to show All, Uncategorized or one category. The letter bar on the side jumps to names starting with that letter (# for names that start with a digit or symbol).
Helpful details
- Key areas: search, category filter and letter bar work together, and the list stays sorted by name.
- What you can do: pick Publisher and the letter S to find the publisher you met at Spiel.
- Good to know: search matches name and email only, not the company or notes.
Invite a contact to your team
When a contact starts working with you closely, open the ⋮ menu on the card and click Invite as team member. The standard invitation dialog opens: type their email, pick a role and send.
Helpful details
- Key areas: the menu item shows only to teammates allowed to invite members.
- What you can do: pick Collaborator for someone who works on one or two games, Member for someone who works across the team. See Roles explained.
- Good to know: nothing is prefilled from the contact, so type the email again. The contact card stays unchanged; the invitation is a separate thing.
Delete a contact
Open the ⋮ menu on the card and click Delete. The contact is removed at once.
Helpful details
- Key areas: there is no confirmation step and no undo.
- What you can do: copy anything you want to keep from the notes before you delete.
- Good to know: deleting a contact never removes a teammate from the team, and it changes nothing on your games' Outreach tabs, which hold their own contact names.
Tips & common questions
Should I add everyone I email? Add people you will talk to again or want to remember. A one-off cold email does not need a card.
Two teammates added the same person. Keep the card with the better notes, copy the missing details into it and delete the other. Boardssey does not merge duplicates.
Can a contact be in several categories? Yes. Pick as many as fit.
How do I file a publisher who wrote through my catalog? On the Catalog page, open Messages and click Add to contacts on their message. See Receive messages from your catalog.
