Work on a project board
Switch between Kanban and List, filter the board, add, rename, recolour and delete columns, and use the task card shortcuts.

A project board is where your tasks live, laid out in columns from To Do to Done. This article covers the board itself: its views, filters, columns and the shortcuts on each task card.
What this page helps you do
- Switch between the Kanban and List views.
- Filter the board by tag, assignee or priority, and share the filtered link.
- Add, rename, recolour, reorder and delete columns.
- Use the checkbox and right-click menu on a task card.
You'll start from Projects in the sidebar, then click a project card.
Find your way around the board
The board header shows the project title, its description and its access chip. To the right are Go Back, Save as Template (owner and admins) and New Task.
Helpful details
- Key areas: the header, the toolbar under it (View as and Filter by) and the columns.
- What you can do: admins click the title or description to edit them in place, and click the access chip to change who sees the project (see Control who can see a project).
- Good to know: the board starts with To Do and Done, plus whatever columns your template added. Start from scratch adds In Progress and In Review between them.
Switch views
Next to View as: pick Kanban or List.
Helpful details
- Key areas: Kanban shows one column side by side per status. List stacks the columns as sections, one task per row.
- What you can do: in Kanban, the button next to the view picker switches between compact and expanded cards (Switch to compact mode / Switch to expanded mode).
- Good to know: on a phone (screens up to 768 px wide) the board is always the List view.
Filter the board
Next to Filter by: open Tags, Assignees or Priority and tick what you want to see.
Helpful details
- Key areas: the three filter dropdowns. Filters combine, so "tag art and assignee Sam" shows only Sam's art tasks.
- What you can do: the filters are saved in the page address. Copy the link from your browser and a teammate opens the board with the same filters.
- Good to know: priorities are No Priority, Low, Medium, High and Urgent. Filtering hides cards; it never moves or changes them.
Add and reorder columns
In Kanban, click Add Column at the right end of the board. In List, click Add Row. A new column called Unnamed Column appears at the end.
Helpful details
- Key areas: the new column, with its name ready to be changed, and the drag handle in the header of every custom column.
- What you can do: drag a custom column by its handle to reorder it. Boards read left to right, with earlier stages on the left.
- Good to know: To Do and Done are fixed. They stay at the two ends, have no drag handle and cannot be deleted.
Rename or recolour a column
- Click the column's name and type a new one. Press Enter or click away to save.
- For a colour, click the settings icon in the column header and pick Change color, then choose a swatch.
Helpful details
- Key areas: the column name and the settings icon in each custom column's header.
- What you can do: rename To Do and Done too, if you are an admin: the new name is an alias for this board only, and the columns keep their special behaviour.
- Good to know: there are no column icons, only colours. Renaming a column does not move its tasks.
Delete a column
Click the column's settings icon and pick Delete column.
Deleting a column deletes every task in it, and there is no confirmation step. The column and its tasks disappear the moment you click. Move the tasks you want to keep to another column first, by drag and drop.
Helpful details
- Key areas: Delete column in the settings menu of a custom column.
- What you can do: drag tasks into another column before deleting, or complete them so they land in Done.
- Good to know: To Do and Done have no settings menu and cannot be deleted. Deleted tasks cannot be recovered.
Task card shortcuts
Each card has a checkbox and a right-click menu, so the most common actions do not need the task sheet.
Helpful details
- Key areas: the checkbox at the left of a card (Mark Complete), and the right-click menu with Mark Complete, Send Reminder, Duplicate Task and Delete task.
- What you can do: completing a task moves it to Done. Send Reminder emails every assignee who has Task reminders emails on; it is greyed out when the task has no assignee. Duplicate Task makes a copy in the same column.
- Good to know: cards show the due date (in red when it is past), the priority, tags, assignees, a subtask count, a repeat icon for repeating tasks and an Also in badge when the task is shown in other projects. Drag a card to move it between columns. Click a card to open the task sheet (see Tasks and subtasks).
Tips & common questions
Can I undo a deleted column? No. The column and its tasks are gone. Before deleting, drag the tasks you want to keep into another column.
Do column names show up in All Tasks or the Calendar? No. Those views list tasks without their column. Columns only exist on the board.
Can I have different columns per project? Yes. Every board has its own columns. To reuse a layout, save the board as a template (see Start projects from templates).
Where do completed tasks go? To Done, whichever column they were in. Untick the checkbox on a card in Done to reopen the task; it returns to the board as an open task.
Why is my board a list on my phone? Below 768 px the board always uses the List view, which fits a narrow screen. On a tablet or desktop you can pick Kanban again.
