Create a project

Start a new project board from scratch or from a template, link it to a game, and choose who can see it.

A project is a board of tasks, usually for one game, sometimes for studio work like a convention or a crowdfunding campaign. This article walks you through creating one.

What this page helps you do

  • Start a project from scratch or from a template.
  • Link the project to a game, or keep it for the whole team.
  • Name and describe the project.
  • Choose who in your team can see it (admins only).

You'll start from Projects in the sidebar, with the New project button in the top right.

Before you start

  • Anyone in the team can create a project, as long as the plan has room: Adventurer includes 10 projects, Pathfinder 40, Oracle has no limit.
  • For a game project, create the game first (see Create a game).

1. Open New project

In the sidebar, click Projects, then New project in the top right. A dialog opens with two steps: Choose a template, then Create project.

Helpful details

  • Key areas: the dialog title shows which step you are on. A Back arrow on the second step returns you to the templates.
  • What you can do: if New project is greyed out, hover over it: "You've reached your plan limit! Upgrade to continue adding projects."
  • Good to know: archived projects still count toward the limit. Deleting a project frees a slot.

2. Choose a template

Pick where the board's columns and starter tasks come from, then click Continue.

Helpful details

  • Key areas: Start from scratch ("Blank project"), Your Templates (templates your team saved) and Industry Templates (templates Boardssey ships). Each template card shows how many columns and tasks it holds, like "4 cols" and "12 tasks".
  • What you can do: Start from scratch gives you To Do, In Progress, In Review and Done, with no tasks. A template fills the board with its columns and tasks, which you can edit freely afterwards.
  • Good to know: the industry templates are Crowdfunding Campaign, Convention / Demo, Pitch to Publisher, Game Design (New Game), Playtest Campaign, Print & Manufacturing, Localization, Retail & Distribution, Expansion / New Edition, Review & Media Campaign, Pre-Launch Audience Building, Art Direction & Illustration, Rulebook Writing & Editing, Graphic Design & Visual Identity, Digital Adaptation and Solo Mode Design. See Start projects from templates to preview or save your own.

3. Fill in the project

The second step is the Create project form.

  1. Under Project type, pick Team or Game.
  2. For a game project, pick the game under Link this project to a game (type to search).
  3. Type a Project name (2 to 255 characters), for example Castle Project, Development.
  4. Add a Project description if you like. It is optional, up to 150 characters.
  5. Admins also see Who can access this project?: pick Admins, Members, Collaborators or Private. For Private, choose the people under Who can access.
  6. Click Create project.

You land on the new board.

Helpful details

  • Key areas: Project type, the game picker, Project name, Project description, and for admins the access level.
  • What you can do: the access level starts at your own role, so a member's project is visible to members and admins. Only admins can pick a different level, at creation or later on the board. See Control who can see a project.
  • Good to know: the game link cannot be changed later. To move a project to another game, duplicate it from the Projects tab (the duplicate dialog has a game picker) and delete the original.

Tips & common questions

Should I have one project per game or several? Most designers start with one. Split only when one board gets noisy, for example one project for design, one for production, one for marketing. Each can link to the same game.

Can I copy a project's structure? Yes, two ways. On the Projects tab, the card's ⋮ menu has Duplicate, which copies columns, tasks, subtasks, tags and assignees. On a board, admins can click Save as Template to reuse the layout for future projects. See Start projects from templates.

Does a project follow the game's sharing settings? Not on its own. A project has its own access level. On top of that, a collaborator needs access to the project's game to see the project. See Control who can see a project.

I picked the wrong template. Can I switch? There is no switch button, but every column and task is editable. Rename, recolour, add or delete columns on the board. See Work on a project board.

Can I change the name or description later? Yes, if you are an admin. Open the board and click the title or the description to edit it in place.
