Game media and assets
Upload images, YouTube videos and PDFs to a game, choose what your catalog shows, and protect files with a password or a language.

The Media tab holds a game's images, videos and documents: covers, renders, photos of play, the rulebook PDF, the sell sheet. Each file can stay private to your team or be shared on your public catalog, where its type decides which download button it becomes.
What this page helps you do
- Upload an image, an image address, a YouTube video or a PDF.
- Give each file a type so your catalog knows what it is.
- Share a file publicly, in one language, or behind a password.
- Edit or delete a file later.
You'll start from a game's page: click the Media tab.
Before you start
- The game cover is not a media file. Set it in the Game cover field on the Edit game page.
- Public files only appear once the game is in your catalog. See Choose and order the games in a catalog.
Upload a file
The Upload Media form sits on the left of the tab. Under Select the type of media, pick Image, Image URL, Video or PDF, add the file or link, pick a Type, write a Title/Description, and click Upload Media.
Helpful details
- Key areas: Image takes an image file from your computer. Image URL takes a web address of an image. Video takes a Youtube link (video files are not uploaded). PDF takes a PDF file.
- What you can do: image types are Logo, Front Cover, Back Cover, 3D Render, Game Setup, Game in Play, Component and Miscellaneous. Video types are Pitch Video, Review, Preview, Gameplay, Trailer, How to Play, Teaser and Miscellaneous. PDF types are Rulebook, Quick Reference / Summary, Player Aid, Print & Play, Specs Sheet, Sell Sheet and Miscellaneous.
- Good to know: turn on Public share to show the file in your catalog right away. Leave it off for work in progress. The count under the form ("12 items uploaded") tells you how many files the game has.
Pick the right type
The type is more than a label: on your catalog's game page, public files of certain types turn into buttons.
Helpful details
- Key areas: a public Rulebook becomes Download Rulebook; a public Sell Sheet becomes Download Sell Sheet; a public Print & Play becomes Download Print & Play; a public Pitch Video becomes Watch Pitch Video. Public images show in the game's gallery.
- What you can do: the Press kit button on the catalog bundles your public images, Sell Sheet, Specs Sheet, Rulebook, Quick Reference and Player Aid into one ZIP for journalists. See The press kit download.
- Good to know: the Rules tab is never shown on the catalog. To offer your rulebook, export it as a PDF from Rules and upload it here as a Rulebook.
Edit, share or delete a file
Hover a file in the gallery and click Edit. The dialog lets you change the Type and Title/Description, switch Public Sharing, set a Language, turn on Password Protect (Catalog), or Delete the file.
Helpful details
- Key areas: a public file shows a Public badge in the gallery; a protected one shows a Password badge.
- What you can do: flip a file from private to public once the art is final. Delete removes the file from the game for good.
- Good to know: files cannot be reordered by hand or moved to another game. Upload again on the second game.
Protect a file with a password
In the Edit dialog, turn on Password Protect (Catalog), type a Password and Confirm Password, then save. Catalog visitors see the download button with a "password required" hint and are asked for the password before they can view or download.
Helpful details
- Key areas: "Leave blank to keep current password. Enter new password to set or change." You never need to retype the password to keep it.
- What you can do: share a rulebook or sell sheet with the publishers you are talking to, without opening it to everyone.
- Good to know: protected files are left out of the press kit ZIP, and repeated wrong passwords are slowed down. Your team always sees the file inside Boardssey.
Show a file in one catalog language
If you run catalogs in several languages, set the file's Language in the Edit dialog. A file with a language shows only in catalogs in that language. Every language (the default) shows it everywhere.

- Key areas: this is how you offer an English rulebook on your English catalog and a German one on your German catalog.
- What you can do: keep covers and renders on Every language and set a language only on text-heavy PDFs.
- Good to know: multiple catalogs are an Oracle feature. See Translate a catalog.
Add files from other places
Media is also where other parts of Boardssey drop their output.
Helpful details
- Key areas: on the game's Files tab (beta), the row menu of a cloud file has Add to Game Media. The Upload Media form also offers Import from cloud storage when cloud storage is on for your team. See Link a cloud folder to a game.
- What you can do: in Tools, Save to game on a digital mockup adds the image to the game's Media, and on a print-and-play layout adds the PDF as Print & Play. Both arrive private until you share them here.

Tips & common questions
Can I upload a video file? No. Upload the video to YouTube and paste the link under Video. The catalog embeds it.
How big can a file be? There is no fixed size limit on the upload form, but very large images slow down your catalog. Export images at a sensible size (1500 to 2500 pixels on the long side is plenty).
My image looks blurry on the catalog. The source was probably small. Upload a larger export; Boardssey does not enlarge images.
Can Collaborators see private files? Yes, if they were granted the game. Private only means "not on the public catalog".
Does deleting a file remove it from the catalog? Yes, immediately. Catalog pages refresh after a change.
